Plan airport transportation around the actual flight, airport, terminal, passenger count, and luggage rather than a generic pickup time. Include the final destination and any accessibility, child-seat, or oversized-luggage needs so the reservation can be matched to an appropriate vehicle and pickup plan.

If several travelers arrive on different flights, specify whether the group should wait and leave together or use separate transfers. Confirm the meeting procedure, waiting policy, and any airport-specific access instructions before travel.
